Under UK GDPR, we must have a lawful basis for processing your personal data. We rely on the following:
- Contract — processing is necessary to fulfil your booking or to take steps at your request before entering into a contract (e.g. providing a quote).
- Legitimate interests — we have a legitimate interest in improving our services, preventing fraud, and communicating with you about your booking and related matters, provided these interests are not overridden by your rights.
- Consent — for marketing emails and newsletters. You can withdraw consent at any time by unsubscribing or emailing us.
- Legal obligation — where we are required to retain records for tax, accounting, or regulatory purposes.
6. Who We Share Data With
We share your personal data only where necessary. The categories of recipients are:
- Cleaning professionals (independent contractors) — we share your first name, contact number, service address, and booking details with the cleaner assigned to your job, so they can attend and complete the service. These individuals act as data processors on our behalf and are subject to confidentiality obligations.
- Payment processor (Stripe) — we use Stripe to process card payments. When you pay by card, your payment details are handled directly by Stripe and governed by Stripe's Privacy Policy. We store only a record of the transaction outcome.
- Email delivery service — we use a third-party transactional email provider (e.g. SendGrid or similar) to send booking confirmations, reminders, invoices, and feedback requests. Your name and email address are passed to this provider for delivery purposes only.
- Analytics provider (Google Analytics) — we use Google Analytics 4 to understand how visitors use our website. This service collects anonymised usage data via cookies. See Section 9 for more detail.
- Hosting and infrastructure — our website and data are hosted on secure cloud infrastructure. The provider acts as a data processor under a data processing agreement.
We do not sell, rent, or trade your personal data with any third party for their own marketing purposes.
7. International Transfers
Some of our service providers (including Stripe and Google Analytics) operate servers outside the United Kingdom or the European Economic Area. Where personal data is transferred internationally, we ensure appropriate safeguards are in place, such as:
- Standard Contractual Clauses approved by the ICO or European Commission
- An adequacy decision covering the destination country
- The provider's participation in a recognised certification framework
You can request details of the specific safeguards in place for any given transfer by contacting us at info@swclean.co.uk.
8. How Long We Keep It
We retain personal data only for as long as necessary for the purpose it was collected and to comply with our legal obligations:
